Overview of the Timesheet Console

Skedulo’s timesheet functionality provides schedulers and managers with tools to manage timesheets and exceptions for worker resources via the Timesheet Console. Job allocations, shifts and activities for a resource can be viewed by timesheet periods.

The timesheet process involves the following key tasks:

  1. A resource completes and submits their timesheet for approval via the mobile app. This may be done on a weekly/fortnightly basis, as per business operations and timesheet custom settings. 
Note: This is an optional step. If resources are not required to submit timesheets, the form will not be deployed and the custom setting Auto_Timesheet_Creation should be set to true.
  1. An auto-approval workflow can be used to process timesheets, if no exceptions are identified (e.g. scheduled/actual time variations, travel claims). 

This process and approval parameters are defined in custom settings.

  1. Email notification to the approver (i.e. manager, scheduler, or administrator, as configured) if there are timesheet exceptions to be reviewed before approval.
  2. Approver reviews timesheets and exceptions, and can action as follows:
    • Approve timesheet, confirming that exceptions are okay.
    • Update individual timesheet records and approve these. They can then approve the  timesheet or wait for the auto approval.
    • Reject and return timesheet to resource to update and re-submit.

Approve and Manage Timesheets 

Schedulers and/or managers use the Timesheet Console to manage timesheet records, review exceptions and approve timesheets. The console can also be used to manage existing jobs, shifts and activities. 

This article guides using the console to manage timesheet records including:

New jobs, shifts, activities, or availability cannot be created in the console. New work must be created inside our other healthcare consoles. Please check out user guides related to ‘Create and Edit Work’ or ‘Resource Management’ to learn more about creating work in the system for resources.
