The On Hold capability within the AU Healthcare Solution allows you to temporarily pause services for a client when they are unavailable for a period. This feature helps maintain accurate scheduling and resource management by systematically managing jobs that fall within the client’s unavailability.
When a client is placed “On Hold,” the system can automatically cancel or adjust their scheduled jobs based on the defined hold period. This ensures that resources are not allocated to appointments that cannot proceed and provides clarity on the client’s service status.
Key aspects of the On Hold functionality include:
- Initiating and Ending Holds: Clients can be easily marked as “On Hold” with a specified start date and an optional planned return date. Removing the hold will trigger processes to potentially reinstate or reallocate previously affected jobs.
- Automated Job Management: Based on the hold dates, existing jobs for the client within that period are typically cancelled or their allocations managed.
- Date Adjustments: The system accommodates changes to both the “On Hold Start Date” and the “Planned Return Date,” with processes in place to adjust affected jobs accordingly.
- New Job Creation Awareness: When attempting to schedule new jobs for a client who is currently on hold, users are alerted, allowing them to make informed decisions.
Note: The On Hold feature currently supports Single Booking Jobs only.
Key On Hold Fields on the Client Record (Lumary)
To manage a client’s On Hold status within the AU Healthcare Solution, specific fields need to be configured on the client’s contact record in Lumary. These fields drive the automated logic for pausing and resuming services:
- On Hold (Checkbox): This is the primary toggle. Checking this box activates the On Hold status for the client. Unchecking it initiates the process to take the client off hold.
- On Hold Start Date: A mandatory date field that defines the commencement of the client’s On Hold period. All automated actions regarding job cancellations will refer to this date as the starting point.
- Planned return/off-hold date: An optional date field indicating when the client is expected to resume services. Whether this date is populated or not significantly influences how jobs are handled during and after the On Hold period.
- On Hold Reason (Optional): Allows users to document the reason for placing the client on hold, providing context for future reference.
- Planned Return Date Confirmed (Optional): An informational field for office use to note if the client or their representative has confirmed the planned return date. This field does not impact the automated On Hold system logic.
Accurate population and management of these fields within the Lumary client record are crucial for the On Hold capability to function as intended.
