Recording breaks in Sage/2C9/PeoplePay

Breaks, as integrated within the SAGE/2C9/People Pay solution, allow for the capture of break details within employee work records. This ensures that break details are accurately processed for payroll, in alignment with award or company break rules.

Several roles interact with the Breaks functionality:

  • Administrators: Responsible for configuring relevant custom settings that enable break capture and define default break durations. Administrators also manage the configuration of ‘Paid Activities’ in the Sage Integration Additional Settings.
  • Schedulers: May enter specific break details such as duration, start time, and whether a break is paid directly onto Job records during scheduling.
Note: The type of breaks outlined in this user guide relate to breaks within a job that is long enough to constitute the entitlement to a break. If a resource has several shorter jobs throughout the day and require a break, an activity record can be manually created and used as a substitute. 

Configuration

The Breaks functionality is configured through specific settings and fields within the SAGE/2C9/People Pay integration.

Job-Based Breaks

Break details can be captured directly on the Job record. These details are then passed to the resulting Timesheet Entry in SAGE/2C9/People Pay.

  1. To enable this functionality, a custom setting, Enable Job Break within the Sage Integration Settings, must be activated.
  2. The following custom fields must be added and made visible on the Job creation modal for schedulers to populate:
    • skedsg__Break_Paid__c
    • skedsg__Break_Start_Time__c
    • skedsg__Break_Duration__c

Default Break Duration

  • The Default Break Duration custom setting can be used to establish a standard duration for breaks, such as 30 or 45 minutes.

Breaks can be configured as ‘Paid Activities’ within the Sage Integration Additional Settings custom metadata type.

  • The list of ‘Paid Activities’ in Skedulo must be synchronised with the corresponding values in 2C9 Payroll.
  • A Paid Activity, when captured and approved in a timesheet, results in the creation of a corresponding Timesheet Item in SAGE/2C9/People Pay.

Process Flow

The processing of break information integrates Skedulo’s time capture with SAGE/2C9/People Pay’s payroll functions.

  1. Break details are captured in Skedulo directly on a Job record by a scheduler
  2. When a Skedulo timesheet containing these Jobs is approved, the break details are passed to SAGE/2C9/People Pay.
  3. For Jobs, break details populate specific fields on the Timesheet Entry object in SAGE/2C9/People Pay:
    • tc9_et__Break_1_Start_Time__c
    • tc9_et__Break_1_End_Time__c
    • tc9_et__Break_1_Paid__c
    • Break 1 Total and Break 2 Total fields are typically left blank or set to 0.
  4. For Activities configured as ‘Paid Activities’, including breaks, a Timesheet Item is created in SAGE/2C9/People Pay.
